In response to a Product Designer role application at Gumroad, we undertook a weekend-long design challenge to showcase our skills. Rather than simply telling about our capabilities, we demonstrated them by developing an AI-powered Smart FAQ system for Helper.ai, Gumroad’s customer support platform. This “show, don’t tell” approach allowed us to highlight our product sense, user-centric design philosophy, and ability to tackle complex AI-related challenges within a constrained timeframe.

Problem

Gumroad’s support team faced inefficiencies due to repetitive queries and underutilization of their knowledge base. This led to slower response times, inconsistent information delivery, and reduced capacity for handling complex issues.

Goals

  • Automate tedious tasks for the support team
  • Speed up the support process
  • Provide uniform and accurate information
  • Reduce support load, freeing up agents for complex issues
  • Identify knowledge gaps in FAQs
  • Standardize resource usage in responses

Hurdles

  • Limited timeline (weekend project)
  • Lack of access to real user data
  • Technical feasibility uncertain without engineering input

Process

Our approach combined rapid ideation with iterative design and prototyping. We moved swiftly from concept to high-fidelity mockups, leveraging Figma and Cursor to accelerate our workflow and produce tangible results within the tight timeframe.

Steps Taken

  • Brainstorming and Prioritization: We began with a rapid ideation session, followed by prioritization mapping to identify the most impactful features within our constraints.
  • Product Requirement Document: We crafted a comprehensive PRD outlining the problem, requirements, constraints, target audience, user needs, pain points, goals, values, success metrics, and risky assumptions.
  • Breadboarding: We created low-fidelity sketches to explore different UI layouts and user flows.
  • Wireframing: Developed more detailed wireframes, incorporating peer review feedback and analyzing pros and cons of different design decisions.
  • High-Fidelity Prototyping: Created a polished prototype to visualize the final product and user interactions.
  • Visual Coding: Utilized Cursor AI to generate tailwind, next.js, and typescript code of our designs.
  • Branding Videos: Produced supplementary branding videos to enhance our presentation of the solution.

Solution

Our proposed solution integrates an AI-powered Smart FAQ system into the existing Helper.ai interface. Key features include:

Solutions

  • AI keyword detection in customer queries
  • Automatic suggestion of relevant articles from the knowledge base
  • Seamless integration of FAQ suggestions into the agent’s workflow
  • One-click insertion of suggested responses
  • Feedback loop for continuous improvement of suggestions

Impact

While we couldn’t measure actual impact due to the nature of the design challenge, the proposed solution has the potential to:

Response Times

Significantly reduce average response times

Resoltuion Rates

Increase first-contact resolution rates

Info Retrieval

Decrease time spent searching for relevant support articles and resources

Enhanced sastisfaction

Swift, accurate responses boost customer experience

Streamlined workflow

Agents tackle complex issues more efficiently, improving overall problem-solving

consistency

Standardized responses ensure uniform and reliable assistance

Conclusion

This design challenge demonstrated our ability to rapidly conceptualize, design, and prototype a complex feature within tight constraints. By focusing on user needs and business goals, we created a solution that has the potential to significantly improve customer support efficiency at Gumroad.

Reflection

  • Lack of user data highlighted the need for early assumption validation in future projects.
  • Time constraints taught us to balance quick decisions with thorough consideration of key features.
  • Intensive collaboration proved the value of diverse perspectives in problem-solving.
  • We learned to consider technical feasibility earlier, especially when integrating AI into existing systems.
  • Designing an AI feature raised awareness of ethical implications, emphasizing the importance of ethical design from the start.

Next Steps

This project was only touching the surface and potential this feature had. Before getting ahead of ourselves on what could be we would want to validate with our target audience and refine with the team including:

steps

  • Conduct user testing with actual support agents
  • Collaborate with engineering to assess technical feasibility
  • Develop a phased rollout plan to minimize disruption
  • Establish a system for ongoing performance monitoring and optimization
